Connect your tools

On day one Patricia sits at an empty desk: sharp, willing, and unable to see your systems. Connect the tools her first job needs, decide who can use each one, and set how much she may do without asking.

For the owner or an admin

Until then, the steps below cover everything in it.

Step by step

  1. 1

Pick her first job before you connect anything

What do you want off your plate first? Client reports, keeping projects on track, watching ad accounts. The job decides the tools. Connect the two or three it needs and add the rest when a task asks for them.

  2. 2

    Connect from Integrations

Over a thousand tools. Search, click Connect, and choose who can use it: Whole team or Just me. Only owners and admins can pick Whole team. Client accounts usually go to the whole team; your own inbox stays yours.

  3. 3

Rename every connection after the real account

In Connected accounts, open the connection's menu, choose Rename, and name it after the account, like "Acme Google Ads". With three clients on one tool, nobody should have to guess which login is which.

  4. 4

Change who can use it, any time

Whoever connected a connection decides who can use it. Open it, then Access: Whole company or Private. A private connection can still go to named people under People who can also use it.

  5. 5

Know what she may do: Read, Write, Critical

The Tools tab lists every action a connection gives her, in three groups. Reads usually run on their own. Writes run on their own by default, but an action that sends something to other people through a connected tool, like an email, asks first unless you chose Always allow this action for it. Critical actions, like a delete or a payment, always ask unless you change that.

  6. 6

Set writes to ask first in week one

Settings, My approvals, Write: Always ask. You see almost every change before she makes it; a few small ones, like email drafts and labels, still run on their own. A missed card waits in the console under Tasks, Approvals. Loosen it once she has earned it.

  7. 7

    Connect straight from chat

In her DM, ask for a tool by name. She answers with a one-click link to sign in and tells you when it is connected. What you connect from chat is usually just for you until you share it; a few tools only connect for the whole team. She can also share your private connection with one teammate, after your yes.

  8. 8

Add a tool that is not in the catalog

An internal tool, or niche software that speaks MCP? Integrations, Connect a custom tool: choose who it is for, paste the link the tool gave you, and sign in the way the tool asks. Or paste that link in her DM and she connects it there.

What a connect screen may show

A question about which account, a consent page with the name of the service we connect through, an install link per account, or an API key from your own profile. All normal. With an API key from your own profile, what she does in that tool usually shows as you.

If something does not work

She says a tool is not connected

In Integrations, a connection that went stale shows Needs reconnecting. Ask her in her DM to reconnect it. For a custom tool, choose Reconnect… in its menu.

She connected the wrong account

Open the connection's menu in Integrations and choose Disconnect. Sign in to the right account in your browser, then connect again.

A teammate cannot use a connection

Only the person who connected it can share it. Ask them to open it, then Access, and add you under People who can also use it, or switch it to Whole company if they are an owner or admin.

She says she is not allowed

Open the connection's Tools tab. An action set to Never allow is blocked: set it to Always ask or Always allow. If you cannot change it, ask an owner or admin.

She used the wrong one of two accounts

Rename both after the real account, then name the one you mean in your ask.

Your tool is not in the catalog

Ask her to connect it by name first. If she cannot find it, add it as a custom tool with the MCP link the tool gives you.

Try these in her DM

Copy one, fill in the brackets, and send it.

Connect [tool name].

Using [connection name], what changed in the last 7 days? Anything I should worry about?

Let [teammate] use my [connection name].
