Where things live
Most setup problems are good instructions stored in the wrong place. Everything you teach Patricia lives in one of four places, and each problem has one place to fix it.
The four places
Memory: what she knows
Company facts, what she picked up from your work, and standing rules that start with "From now on". A standing rule applies to every later answer; other memory comes back when it is relevant.
Skills: how a job is done
The steps, the format and the checks for one job. Taught once, used every time the job comes up.
Automations: when she works on her own
The schedule, where the result lands, and a short brief that names the skill. Keep the steps in the skill.
Approvals: what she may do without asking
Set per person in Settings, My approvals, and per action with Always allow this action on a card.
Fix it in the right place
| When this goes wrong | Fix it here |
|---|---|
| Wrong facts, wrong tone of voice | Memory, or Settings, Brand Kit |
| Wrong method, wrong format, wrong numbers | The skill |
| Wrong time, wrong channel, too much noise | The automation |
| Too many approval cards, or too few | Settings, My approvals |
| She cannot see a tool or a channel | Integrations, or invite her to the channel |
One line to remember
What she knows: memory. How: a skill. When: an automation. What she may do alone: approvals.
