Create proofs and new versions
Create a proof from a public file link or add a new version to an existing proof. Choose the owner, reviewers and notification options for the review round.
Update review stages and reviewers
Change proof details, apply a workflow template, add or remove stages, and set or clear deadlines. Invite reviewers, change permissions and notifications, or remove reviewers. New reviewer emails can create guest contacts. Starting a stage can require Enterprise and proof manage rights.
Work through feedback and complete reviews
Post or reply to comments, then like, react, label, resolve or reopen them. Add a checklist to a stage and mark or clear item results. Submit a proof decision and completion status, with decision reasons when needed.
Organize folders and their access
Create, rename, move, archive or unarchive folders. Change privacy and sharing, or delete a folder with an explicit choice about deleting its proofs.
Export comments and summaries as PDFs
Request a comments or summary PDF, then check its export status for a download link. Comments PDF exports can require Enterprise and a supported static file; proof readiness can also prevent export.
Manage guests and user profiles
Create, update or remove guest contacts. Change a user's profile, deactivate a user, or delete a user with an optional transfer of their proofs. Guest changes use critical approval settings, including profile edits. Organization-user creation, credential changes and role changes are not supported.
Maintain workflow and checklist templates
Create and update review templates, change template reviewers, or remove named stages and checklist items. For routine updates, Patricia sends the existing reviewer and checklist entry IDs with your changes. Access changes and removals use separate critical actions.
Maintain account labels, reasons and property definitions
Create, rename or remove comment labels. Update decision-reason settings and add, change or remove reason options. Create, update or remove custom property groups, and add or update property options. Custom property groups require Enterprise and admin rights; availability also depends on your Ziflow edition.

What can Patricia do with Ziflow?
She can find and read proofs, create proofs and versions, update stages and deadlines, manage reviewers, work with comments and checklists, record review decisions, organize folders and request PDF exports. She also reads workflow templates, comment labels and proof email records.
Does Patricia ask before changing something in Ziflow?
Patricia uses your approval settings for Ziflow changes. The connected key owner's permissions in Ziflow also determine which actions are available.
Whose account does Patricia use for comments and review decisions?
Comments and review decisions go to Ziflow as the user whose Ziflow API key is connected. Choose the key owner with that in mind when setting up the connection.
How do I connect without sharing an API key in chat?
Ask Patricia to connect Ziflow, or use the dashboard. The chat flow sends you a link to a secure key form. Enter your API key there rather than in a message.
Can I connect for myself or for my team?
Both personal and team connections are supported. Choose the sharing scope you need during setup.
Which actions depend on my Ziflow plan?
Reading proof activity requires Ziflow Enterprise or higher and proof manage rights. Starting a stage can require Enterprise and proof manage rights. Comments PDF exports can require Enterprise and a supported static file. Proof readiness can also prevent an export.
Is a PDF ready as soon as I ask for it?
Ziflow first returns an export request. Patricia can check its status and return a download link when the export finishes. The link is valid for one hour.
Can Patricia manage Ziflow account settings?
She can manage guests, workflow and checklist templates, comment labels, decision reasons, custom property groups and options, and user profiles, deactivation and deletion. These tasks follow your approval settings and the connected key owner's Ziflow rights. She cannot create organization users, manage webhooks, change credentials or roles, or change an existing guest's groups.
