In a 10-person agency, the recurring client work eats the week: the report on the 1st, the morning check of every ad account, the notes after each call, the chasers on Friday.
A 10-person marketing agency saves the most time by giving AI agents the recurring client work: the monthly report, a daily ad check, call recaps, follow-ups, SEO briefs and an AI visibility report. By our estimate that is about 14 hours a month per client, with a person approving each draft before it reaches a client.
Below are the six workflows, each with what triggers it, what the AI agent does, where a person says yes, and what one run costs. The costs are real: BetterPic, our sister company and first client, ran these jobs on Patricia in October 2026. The hours are our estimates, and we show the assumption behind each one. We make Patricia.
Costs from October 2026The 6 workflows at a glance
| Workflow | Trigger | Cost per run | Runs a month, per client | Hours saved a month, per client (our estimate) |
|---|---|---|---|---|
| Monthly client report | The 1st of the month | about 613 credits ($1.38) | 1 | about 1.5 h |
| Ad anomaly watch | Every morning, 8:00 by default | about 467 credits ($1.05) | 30 | about 4.5 h |
| Meeting recap | A client call ends | 150 credits ($0.34), planning estimate | 4 | about 1 h |
| Follow-ups | Every Friday | about 94 credits ($0.21) | 4 | about 1.5 h |
| SEO content brief | Every week, or a request in the channel | about 271 credits ($0.61) | 4 | about 3 h |
| AI visibility report | Once a month | about 311 credits ($0.70) | 1 | about 2.5 h |
| One client, one month | about 17,000 credits | about 14 h |
Cost per run: BetterPic's October 2026 runs, from our AI coworker pricing breakdown, at the $2.25 base rate per 1,000 credits. The meeting recap has no measured run that month, so it uses our planning estimate for a client update. Hours: our estimates for a typical account, not customer results.
How we estimated the hours
We have no customer time studies to quote, so every hour on this page is an estimate. For each workflow we assume a time to do it by hand and a time for a person to review what the agent drafted. The time saved is the difference, times the number of times the job happens in a month for one client.
- A monthly report takes an account manager about 2 hours by hand: pulling the numbers, building the slides and writing what moved. Reviewing a draft takes about 30 minutes.
- Checking one client's ad accounts takes about 15 minutes on each of 22 working days. Reading an alert takes about 3 minutes.
- Writing up a client call takes about 20 minutes, for one client call a week.
Your numbers will differ. Time your team for one week and put your own minutes in. Our 10-minute ROI method shows the math.
1. Monthly client report
- Trigger
- The 1st of the month.
- What Patricia does
- Pulls each client's numbers from Google Ads, Meta Ads, LinkedIn Ads, GA4 and Search Console, compares them with the month before, and drafts the report in your template with what moved, why and the next step. See client reporting.
- Approval point
- The draft lands in Slack or Microsoft Teams. She asks before a report reaches the client.
- Cost per run
- about 613 credits ($1.38), measured on BetterPic's account in October 2026.
- Time saved (our estimate)
- 120 minutes by hand, 30 minutes to review, 1 time a month: about 1.5 h a month per client.

2. Ad anomaly watch
- Trigger
- Every morning, 8:00 by default.
- What Patricia does
- Compares yesterday with the days before on Google Ads, Meta Ads and LinkedIn Ads, and posts in the client's channel only when spend or conversions move. Each flag carries the numbers and the likely cause. See ad spend alerts.
- Approval point
- She reads, flags and proposes. By default, budget, bid and pause changes wait for a named yes.
- Cost per run
- about 467 credits ($1.05), measured on BetterPic's account in October 2026. BetterPic ran it every day, and it used about 82% of the credits in this example. Run it on weekdays or on the accounts that move to cut that.
- Time saved (our estimate)
- 15 minutes by hand, 3 minutes to review, 22 times a month: about 4.5 h a month per client.

3. Meeting recap
- Trigger
- A client call ends.
- What Patricia does
- Her notetaker joins the client calls you choose from Google or Outlook calendars. Minutes after the call, the summary lands in the client's channel with the full notes in the thread, and the action items go on your task list with owners. See meeting recaps.
- Approval point
- This is the one exception to the default: the recap email goes to everyone on the invite, which on a client call includes the client. You can narrow it to your team or switch it off.
- Cost per run
- 150 credits ($0.34), planning estimate.
- Time saved (our estimate)
- 20 minutes by hand, 5 minutes to review, 4 times a month: about 1 h a month per client.
4. Follow-ups
- Trigger
- Every Friday.
- What Patricia does
- Collects what the agency still owes each client from calls and channels, and drafts the chaser emails. Post-meeting Follow-ups is a built-in Automation. See how to track client follow-ups.
- Approval point
- She shows each draft in Slack and sends it on your yes.
- Cost per run
- about 94 credits ($0.21), measured on BetterPic's account in October 2026.
- Time saved (our estimate)
- 30 minutes by hand, 5 minutes to review, 4 times a month: about 1.5 h a month per client.

5. SEO content brief
- Trigger
- Every week, or a request in the channel.
- What Patricia does
- Researches the terms the client can win, reads the live top 20 for the keyword, and drafts the brief: the angle, the outline, the questions to answer and the do-not list from the brand kit. See SEO drafts.
- Approval point
- The brief goes to your strategist in the channel. Anything that goes to the client waits for a yes.
- Cost per run
- about 271 credits ($0.61), measured on BetterPic's account in October 2026.
- Time saved (our estimate)
- 60 minutes by hand, 15 minutes to review, 4 times a month: about 3 h a month per client.

6. AI visibility report
- Trigger
- Once a month.
- What Patricia does
- Measures how often ChatGPT and Google AI name the client against the rivals you pick, what AI cites for the category, and which pages to fix. See the GEO retainer.
- Approval point
- It is client-facing, so the report waits for your yes.
- Cost per run
- about 311 credits ($0.70), measured on BetterPic's account in October 2026. That is BetterPic's lighter version. The full monthly report on the GEO retainer is about 800 credits per client (about $1.80).
- Time saved (our estimate)
- 180 minutes by hand, 30 minutes to review, 1 time a month: about 2.5 h a month per client.
What do the 6 workflows cost a 10-person agency?
Say the agency runs all six for 10 clients. The numbers below follow from the table.
- One client: about 17,000 credits a month, inside the 20,000 credits the $45 plan includes.
- 10 clients: about 169,900 credits a month. That is $45 for the plan plus about 149,900 extra credits at $2.25 per 1,000: about $382 a month at the base rate, every seat included. Bulk top-ups take up to 25% off the extra credits.
- Hours, our estimate: about 141 hours a month across 10 clients, if our by-hand times match yours.
The daily ad watch is the biggest line. Running it only on weekdays, or only on the accounts that move, lowers the bill more than any other change. The full breakdown, with the same jobs priced at model API rates, is in our AI coworker pricing article.
Where to start
- Week 1: the monthly report for your two biggest clients. Compare her draft with last month's.
- Week 2: the ad anomaly watch on the accounts with the most spend.
- Week 3: call recaps and follow-ups. Decide who receives the recap email before the first client call.
- Week 4: SEO briefs and the AI visibility report for the clients on a content or GEO retainer.
Every workflow gets better as the agent remembers each client. Read what a company brain is for how that memory works, and see all built-in jobs on the Automations page.
FAQ
How can a 10-person marketing agency use AI agents to save time?
A 10-person marketing agency saves the most time by giving AI agents the recurring client work: the monthly report, a daily ad check, call recaps, follow-ups, SEO briefs and an AI visibility report. By our estimate that is about 14 hours a month per client, with a person approving each draft before it reaches a client.
Which workflow should a small agency hand to AI agents first?
The monthly client report. It repeats for every client, it follows a template, and a person already reviews it before it goes out, so the approval step exists. Add the daily ad check next, then call recaps and follow-ups.
How much do AI agents cost for a 10-person agency?
On Patricia, $45 a month per workspace with 20,000 credits and every seat included, plus credits for the work. With the six workflows below for 10 clients, that is about 169,900 credits, about $382 a month at the $2.25 base rate, before bulk discounts of up to 25%. Per-run costs come from BetterPic's own account in October 2026.
How many hours do AI agents save an agency?
We do not have customer measurements to quote. Our estimate for the six workflows is about 14 hours a month per client, assuming the by-hand times in this article, such as two hours for a monthly report. Time your own team for a week and replace our numbers with yours.
Will AI agents send things to clients without asking?
Not by default in Patricia. Drafts wait for a yes, and so do budget, bid and pause changes. The one exception is the meeting recap email, which by default goes to everyone on the invite; you can narrow it to your team or switch it off.
Do we need to build the AI agents ourselves?
With an agent builder, yes: you write the instructions and connect each app. Patricia has these jobs built in as Automations, such as the Monthly Client Report, Ad Anomaly Watch and Post-meeting Follow-ups, and we set them up with you on a dedicated onboarding.
